I own a small bed and breakfast and some rental property, and was constantly struggling to keep everything organized. From the rental contracts and renewals, the constant maintenance, and upkeep of the properties and the daily guest needs, my plate was overflowing. Some years we host over 500 people! It became almost unmanageable to maintain good records of the interactions with my tenants, the maintenance dates and documentation of what was done, and the supply staples that are needed for my BnB.

My old system consisted of scattered phone numbers of repairman, paper file folders with copies of contracts. Duplicate “soft” files on my computer hard drive, spreadsheets, and scattered notes. With so many applicants, it is difficult to keep track of what was said when, and understanding and remembering where a candidate stands in my pipeline.

With Mach10CRM, I can simply click a candidate’s name and see our complete communication history - including past and upcoming interviews, attachments, notes, and calls, all related to that individual candidate. Seeing these activities in one chronological log saves me valuable time and gives me a full 360 view of each applicant. Mach10CRM makes it easy for me to find information. The ability to find attachments easily is extremely critical when looking for a resume that would otherwise be buried in an email thread.

When scheduling interviews, I can create a calendar event that is specifically tied to that candidate, and see all previous events with that person. With this feature, I can see where someone is in the interview process and check for upcoming interviews. I can easily invite coworkers and attach resumes and notes to the interview event.

Using the Profile feature, I can easily add quick notes like GPA, University, Hometown, & include unique details about each candidate, like if they played the flute or were captain of the tennis team. Adding this kind of information helps me build better relationships with students and remember the little details. Keeping track of these seemingly trivial details helps me remember the students because it really brings these candidates to life. I truly feel like I know them.

Mach10CRM’s unique ranking system enables me to prioritize. Mach10CRM automatically promotes qualified candidates to VIP and weeds out unqualified applicants. With this feature, I can devote extra attention to certain students, and not be distracted by students I know are ultimately not a good fit. If I expect a great candidate to be responsive and interested in the position I am offering, then I need to be interested in them.

Devoting extra attention to superstar candidates has not only made me hire more people, but better people. Candidates really notice the difference. Mach10CRM - Simply Productive in a Complex Sale

Staying organized is easier said than done in a complex sale. Many times there are multiple players involved with landing a single purchase order. Mach10CRM has two ways to handle this. Sometimes I use the Project Category if there are multiple team members in my company handling various details. In that case, I just use a ##(Project Name) in the subject line and send a quick email to myself to start tracking the sales progress.

I send emails to my team members and they become part of the ##Project by default just by adding the ##ProjectName to my email subject line. Easy right? And just like other Contact Folder Logs in Mach10CRM, I can track actions by tapping the Do-It button inside the Project Folder. I add notes, to dos, meeting agendas, and upcoming events. I also put the Sale Opportunity Value in there. When I want to see our team progress, I just tap the Review button to see my Statistics, which shows with brutal honesty (the data doesn’t lie), the number of engaging interactions I have had with my customer. I can see the overall health of the customer relationship and the health of the opportunity just by quickly scrolling through the Project Folder Log.

​I don’t always use Projects to track sales and opportunities. Sometimes I just use the main contact at my client as the designated VIP in the opportunity and track it from there. Note: If I have an opportunity with real dollars attached, I always move the Contact into the VIP Category, so I keep it front and center and on my mind every day. The same process applies, however as mentioned above. Many times, without this type of organization, you can lose track of exactly where you are in the sales process, and you don’t really have a good understanding of where you stand with the customer.

In addition to tracking my sales, I also track and pursue hundreds of leads at once through marketing campaigns. This would be impossible without Mach10CRM. I can easily rank my leads in VIP, MIP, or People by their importance. Some leads are hot and those go into VIP. Others are not and I put those into People until I either move them up in ranking or trash them.

It is very efficient to be able to follow up on your leads, engage the customer, see your statistics, easily find your attachments (contracts, proposals, RFQs, Purchase Orders, and any other supporting documents automatically logged inside the Contact by file type and in chronological order. Mach10CRM is the centerpoint that keeps your sales efforts organized, productive and winning!

Retaining clients is always a challenge as a Personal Trainer. I find that unless I stay in close contact with them, I tend to lose them after only a few weeks or months of training. The antidote to this is to engage them in between sessions with a little encouragement via email, text, or even a “cheerleader” call.

I take my business, and the health and wellness of my clients very seriously. Although they may think that they can continue on their own, I know from experience that the accountability of having someone helping you directly can influence your success rate by 50% to 80%. Plus, many of my clients have become friends, and I want to keep and remember little details about important events in their life or about their families. Over the course of my career, I have engaged over 400 clients, and I have great records on all of them!

One day one of my favorite clients let me know that her daughter was moving away to another state, and so it would be difficult for her to see her grandkids on a regular basis. The next time we met, I brought her a little card of encouragement, and she was so appreciative that she was moved to tears. She was even more surprised when, during their actual move week, I remembered to bring her a card and a small plant, just to brighten her day.

I don’t do this just because I want to keep my clients longer, although that is definitely a side benefit. I do it because in a small way, I can go beyond just being “the strict trainer,” to becoming a friend that truly cares about them as a whole person. But even more importantly, I have been able to affect the lives of others in a positive way, beyond just the physical fitness part.

I also log important conversations – whether it has to do with her health, with the staff, or with one of her new friends at the facility. It helps me really get to know each caregiver, the management staff, and the residents much better. Building great relationships in this environment is vital in ensuring my Mom receives the best care. People are always amazed and really appreciate when you remember their name and a few little details about them. I’ve even started bringing a small basket of treats on a regular basis to the staff, so they know how much I appreciate them. Mach10CRM helps me stay on schedule, on task, and on purpose.

Because of the staff turnover and continued policy updates at these types of facilities, there is no way I could keep up just by trying to remember everyone and everything.
